How to organize and sort PDF pages by key

PDF KeySort is designed for long PDFs, documents with pages in the wrong order, and files assembled from multiple sources. This guide explains how sorting works, what makes a useful key, and how to verify the result.

What is a sorting key?

A sorting key is information on each page that determines its position, such as an invoice number, date, customer ID, section number, or source filename. Consistent labels and layouts usually produce more reliable results. Multiple keys can be combined: when the first key is equal, the next key decides the order.

Common use cases

Typical examples include reordering scanned invoices by invoice number, arranging statements by date, or organizing pages from several source PDFs by customer ID. PDFs with a real text layer work best. Image-only scans may need OCR before their text can be used as a key.

Tips for better results

Choose a field that appears on most pages and follows a consistent format. A sample should represent the actual document rather than a generic word such as “date” or “number” that occurs in several places. For a large job, test a few pages first and confirm the extracted values before processing the full document.

Verify before downloading

After sorting, the result table shows the original page, extracted key values, and new page number. Check especially for blank values, inconsistent date formats, and unexpected gaps in numbering. Preview the page order before downloading. Accounting, legal, and other important records should always receive a final human check.
